Supervisor, Administration

Job Summary

The overall role of Supervisor, Administration is to implement related policies and procedures to achieve high efficiency and quality of administration supports to all functions of company

Key Responsibilities

  1. Plan and manage office space to enable every individual staff to access a convenient workplace.
  2. Oversee and closely monitor the process of acquiring, distribution and storage of office equipment and supplies to prevent inventory loss, damage and so on.
  3. Coordinate with other functions to update and effectively administer staff allowances including meal, gasoline, transportation and so on.
  4. Liaise with other Function to ensure that relevant administration support required are well responded in a timely manner including arrangement of accommodation, meal and transportation for visitors.
  5. Work closely with procurement and concerned Functions to review, analyze, negotiate, and manage relevant contracts/agreements with external services providers in order to achieve optimum results and best interest of the company
  6. Liaise with external parties including government ministries to ensure that necessary information/updates relevant to the businesses/operations are well captured, responded and/or escalated to upper level
  7. Plan, lead and train FMA staff about Quality and Environmental policies (QAM/EMS) and make follow up actions to ensure that these policies are always applied into daily practices.
  8. Ensure that offices and premises are always clean by working closely with cleaning team.
  9. Ensure that waste management procedures, waste segregation and waste disposal are fully implemented and complied with ISO requirement (EMS)
  10. Steer the fleet of office vehicles, i.e. vehicle arrangement, repair maintenance, insurance, yearly inspection, monthly car report etc.
  11. Oversee and improve the hospitality services of the office.
  12. Other tasks assigned by direct supervisor.

  1. Demand for effective communication with different types of personalities and between parties within or outside the organization
  2. Need to take full ownership over the company property and asset. At all-time trying to improve efficiency and minimize wastes.

 

Qualifications

  1. Education:
    • Bachelor Degree or Master Degree in Administration, Management, Accounting and other related fields
  2. Experiences:
    • At least 3 years relevant experiences in administration work; preferably, in a large firm
  3. Skills and knowledge:
    • Office management
    • Technology skill
    • Public relation and communication
    • Supervisory skill
    • Good command of computer literacy (Microsoft office)
    • Good command of Khmer and English (Writing, Speaking, Listening, and Reading)
